Use this checklist to prepare your institute before staff begin using bACEic for daily operations. You do not need to configure every possible feature on day one. Start with the information and workflows your institute needs first.
Step 1: Confirm your institute details
- Check the institute name and the contact information used by your organisation.
- Confirm which person is responsible for administration and initial setup.
- Identify the staff members who need access.
Step 2: Set up access
- Make sure the relevant users can sign in.
- Assign roles and access according to each person’s responsibilities.
- Test access with the relevant users before relying on the platform for daily work.
Step 3: Establish your learning structure
- Decide how your institute will represent the programs it offers.
- Identify the courses or learning components associated with each program.
- Decide whether and how students will be grouped into batches.
- Confirm the terminology and naming conventions staff should use.
Step 4: Add the initial records
- Create or confirm the first program.
- Add the first student records using the institute’s approved process.
- Associate students with the appropriate program or batch where supported.
- Check a sample of records for accuracy before entering data in bulk.
Step 5: Prepare daily operations
- Configure fees or payment information if those features are enabled and needed.
- Set up class schedules or sessions if supported by your workflow.
- Agree how staff will maintain attendance, student updates and follow-ups.
- Identify the reports or dashboard views the institute will review regularly.
Step 6: Run a small test
- Ask one administrator and one relevant staff member to complete a typical task.
- Check that each person can see the information needed for their role.
- Confirm that the resulting records appear in the expected place.
- Resolve issues before scaling up to more users or records.

- Set up the smallest complete workflow that reflects how your institute actually operates. Expand configuration after the first workflow is understood and working.
